AI Assistant in BoardPro is here: Governance-grade AI, grounded in your board's own record

Since BoardPro began in 2015, our mission has been to give the leaders who steer boards and the professionals who run them the clarity they need to govern with confidence.

When we started out, that meant solving a logistics problem: moving heavy board packs away from paper binders and DHL deliveries into a secure, digital space. Today, we are proud to support nearly 4,000 boards navigating the most complex, fast-moving regulatory environment in history.

But the limit on good governance is no longer about simply getting access to information. It's having the human time to absorb it. As the sheer volume of digital data grows, institutional memory has become a double-edged sword: storing years of board history is easier than ever, but instantly retrieving the exact context you need is another story entirely. Caught in this flood of information, boards are finding themselves on the back foot – often feeling like management is leading the charge with new AI capabilities while the directors watch from the sidelines, knowing they don't know what they don't know.

We firmly believe technology should serve the people at the top, not outpace them. We don't want to replace the expert in the room; we want to make you more expert. That is why we are incredibly excited to step into our next era and introduce BoardPro AI Assistant – the first piece of our answer to modern governance.

Why now

When we recently surveyed our community of directors and governance professionals, a striking pattern emerged. There is a significant disconnect between high-level board awareness and what is actually happening operationally inside organisations.

The gap directors are describing isn't really about AI being unavailable. It's about AI being ungoverned. 

While boards are still discussing frameworks and policies, staff are already using tools like ChatGPT and Gemini daily to drive productivity. Management is moving faster than the board, creating a jarring tension between innovation going too fast at the operational level and governance moving too slow at the top. In the meantime, the boardroom continues to face the same old problem: packs that are longer, denser, and harder to keep across.

Into that gap, some of the loudest voices in our category are pitching "your next board member might be AI" and "autonomous agents that run governance end to end." Those claims widen the gap. They don't close it. They confuse directors about what's actually shipped, and they blur a line that shouldn't be blurry: governance is judgement work, and judgement isn't something to hand over.

Because the bar for putting AI anywhere near the board record should be appropriately high, we’ve moved deliberately. This also isn't BoardPro's first move into AI. We've already shipped AI capabilities inside the Annual work plan and the agenda builder, and we've learned a lot from how directors and secretaries actually use them. AI Assistant is the next step in a deliberate sequence.

What AI Assistant does, and what makes it different

Most AI assistants are general-purpose. They know the internet, but not your board. Some dress this up with "expert personas" or "specialist agents," but underneath, it's still a general model being prompted to sound knowledgeable about your situation.

AI Assistant is built the opposite way. It's grounded in your organisation's own governance record: every paper, every set of minutes, every resolution, every attendance log, going back years. That's what lets it answer questions no other tool, AI or otherwise, can answer for your board.

Four examples of what that looks like in practice, framed as questions a director might actually ask:

  • "What do I need to focus on in this pack?" Summaries of long board papers, with the issues, risks and decisions surfaced up front.

  • "How did we get to this decision?" Historical context across past meetings and documents, on demand.

  • "What did we resolve about the strategic plan last quarter?" Natural-language search across years of your board's record.

  • "How many meetings has each director attended this year?" Governance queries answered instantly from the data you're already maintaining in BoardPro.

If you've been on BoardPro for a while, none of this requires you to do anything new. The institutional memory is already there. AI Assistant just makes it answerable. And for boards getting started, that record begins building from your first meeting onwards.

Two scenarios

  • Before the meeting. A director has a 200-page pack and 30 minutes. AI Assistant surfaces what matters, with citations back to the source pages so the director can verify and dig deeper where it counts.

     

  • Across time. A chair wants to understand how a decision evolved over the past two years. AI Assistant draws on everything stored in BoardPro: minutes, resolutions, papers, attendance. This is the use case that's only possible because of the data already in the platform.

Augmentation, not automation

A principle we held to throughout the design, and one we'd recommend to any board evaluating AI in this space.

Fiduciary duty is non-transferable. Directors can delegate tasks but not accountability, and we built AI Assistant around that fact. The goal is to make directors more expert, not to replace their judgement. Humans set the destination. AI Assistant helps them get there.

That's also why we don't describe AI Assistant as a "board member" or a "chief of staff." It isn't any of those things, and naming it that way would set the wrong expectation about who's accountable for the work it supports.

What AI Assistant won't do

We've been deliberate about the boundaries. AI Assistant is designed to make directors more expert. It is not designed to substitute for director judgement:
It won't make governance decisions. Every output is a starting point for director judgement, not a substitute for it.

It won't replace independent legal, audit, or governance advice. When a question calls for that advice, AI Assistant will say so.

It will tell you when it doesn't know. If the answer isn't in your board's materials, AI Assistant will say it can't determine the answer, rather than guess.

That last one matters most. An assistant that knows the limits of what it knows is more trustworthy than one that always has an answer.

You control your board's data

Trust isn't a feature we added to AI Assistant. It's the architecture we built it on. Three things mattered most:

Your board's content is never used to train third-party AI models. Not OpenAI's, not anyone outside BoardPro. How BoardPro itself may use data to improve the product is set out transparently in our AI Policy.

Your board's content never leaves your trust boundary. AI Assistant runs on Microsoft Azure OpenAI inside a dedicated tenancy, with contractual zero-retention guarantees.

AI Assistant only sees what you have permission to see. It inherits the permission model your board already uses in BoardPro. If you can't access a document, neither can the AI.

AI Assistant is off by default. Your board administrator decides whether to turn it on, and for whom.
