How is this different from using ChatGPT or Gemini?

General AI tools don't have access to your board's history – and using them means pasting sensitive governance materials into a system that may use your inputs for model training. Our dedicated board meeting AI only accesses documents within your BoardPro account, under your existing permissions, with contractual guarantees that your data is never used to train AI models. Your board pack stays in BoardPro.

Are my conversations private?

Yes. Chats are private to you and can't be shared with or seen by other users, including administrators. Each user has their own conversation history.

How accurate are the responses?

Every response includes a citation showing the source document, so you can verify the answer yourself. Like all AI tools, AI Assistant can occasionally produce inaccurate results, which is why we surface sources on every answer and recommend verifying before acting on anything material. It's designed to support your judgment, not replace it.

Which documents can it access?

Any document in your BoardPro account that you have permission to view – board packs, agendas, minutes, decisions, actions, and historical meeting materials. The more complete your records in BoardPro, the more useful AI Assistant becomes.



Does it learn from my questions?

No. Your questions and the AI's responses are never used to train AI models. AI Assistant is built on Azure OpenAI under enterprise terms that contractually prohibit your data being used for model training.

Who in my organisation can use it?

Every user, regardless of access level, provided AI Assistant is enabled for your organisation. Administrators can turn it on or off at the org level.

Do I need to be technically confident to use it?

No. You ask questions in plain language, the same way you'd ask a colleague. There's no prompt engineering, no setup, and no learning curve. Suggested prompts appear when you open the assistant to help you get started.

Which plans is AI Assistant available on?
